Reviews do two jobs at once. They feed the prominence signal that determines where you sit in the map results, and they're what a stranger reads immediately before deciding whether to call you.
Most businesses get few of them for one reason: they never ask, or they ask in a way that's too much work to act on.
The rules, and what breaking them costs
Google's review policies are stricter than most people assume, and violations get reviews stripped or listings suspended.
- Never buy reviews. Detection has got good and the penalty lands on you.
- Never offer anything in exchange. A discount, a draw entry, or a free coffee for a review breaches the policy on incentivized content, even when the reviews are genuine.
- Never gate. Asking how it went and only sending the review link to the happy ones is called review gating and it's explicitly prohibited. Ask everyone or ask nobody.
- Do not review yourself, and do not have staff or family do it. Conflict-of-interest reviews get removed and they read as fake to anyone paying attention.
- Do not set up a review station where customers all post from one device on your premises. Reviews posted from one device in an afternoon get filtered out.
What that leaves is asking well, which is the lever that works anyway.
Ask at the right moment
The moment matters more than the wording. Ask when the customer is visibly pleased and the job is fresh.
- A trade: standing in the finished room, before you pack up.
- A clinic or salon: at the desk, while they're booking the next one.
- A restaurant: when they say the meal was good.
- Anything invoiced: in the same message as the invoice, or the follow-up two days later.
Ask in person if you can and follow up by text. Asking face to face and then sending the link is far more effective than either on its own, because the person has already agreed and the link removes the work.
Make it one tap
Every extra step loses people. Somebody standing in their kitchen holding a phone won't go and search for your business, find the right listing, and scroll to the review button.
- Get your review link from the Business Profile dashboard. It goes straight to the review box with the stars ready.
- Shorten it so it's not intimidating in a text message.
- Turn it into a QR code for invoices, receipts, van doors, and the counter.
- Put it in your email signature.
- Send it with a sentence, not a paragraph.
Something like: thanks again for having us in, if you have a minute a quick Google review really helps us out, here's the link. That's the whole message.
Reply to all of them
Replying is a ranking-relevant activity and it's the part almost nobody does consistently. It also changes how the page reads: a wall of reviews with no responses looks like a business that has stopped paying attention.
Keep replies short, specific, and free of the same template repeated forty times. Name the job or the dish. Two sentences is plenty.
Handling a bad one
One bad review among twenty good ones does almost no damage and can help: a perfect five-point-zero with forty reviews reads as suspicious to people who have been on the internet.
- Reply within a day or two, before it's the only thing anyone reads.
- Do not argue the facts in public, and never mention anything private about the customer.
- Acknowledge, state briefly what you have done, and move it offline with a real contact.
- Then ask five happy customers this week, and five more next week.
- If it breaks policy, isn't from a customer, or names someone personally, report it. Removal isn't guaranteed and takes patience.
The reply isn't written for the person who left it. It's written for the next hundred people who read it while deciding.
Make it routine
Businesses with a steady trickle of recent reviews outperform businesses with a big cluster from two years ago, which is why the ongoing plans treat it as routine rather than a campaign.
Pick a point in your normal process, attach the ask to it, and do it every time. Ten a month, forever, beats a campaign.
